How The Covenant Nation handles your data

This notice explains how this church platform uses personal data for welcome follow-up, events, households, children's church, communications, and private galleries. It is product guidance for the MVP and should sit alongside any formal church policy approved for launch.

What you agree to by registering

By registering on the portal, you give The Covenant Nation permission to use your image and contact details for church life, care, and follow-up — including communications, approved church media, and showing your emergency contact to approved leaders when needed — unless you explicitly revoke it.

You can revoke any of these permissions at any time from Settings → Profile & Privacy on your dashboard. Consent involving children is never implied and is always asked for explicitly.

What we collect

The platform asks for the information needed to support church life and safety. Depending on what you use, this may include:

  • Profile and contact details such as name, phone, email, address, preferred centre, and communication preferences.
  • Household and relationship details such as spouse, parent, guardian, emergency contact, and authorised pickup relationships.
  • Welcome, event registration, attendance, and check-in records.
  • Children's church safety details, including allergies, medical notes, emergency notes, class assignment, check-in/out records, security labels, and incident notes.
  • Media consent, gallery access entitlements, and moderation details needed to protect private event photos.
  • Operational audit records for sensitive admin actions and privacy/data-subject request handling.

Why we use it

We use this data for clear church operations, including:

  • welcoming first-time visitors and helping centre teams follow up;
  • supporting event registration, attendance, self check-in, and post-event gallery access;
  • running children's church check-in/check-out safely;
  • keeping household, guardian, emergency-contact, and authorised-pickup details accurate;
  • sending church communications when you have opted in or where operational follow-up is needed;
  • protecting private galleries, child records, and admin workflows with server-side access controls.

We do not use this MVP to run AI lead scoring, facial recognition, automated pastoral profiling, or ad-targeting workflows.

Children's church data

Children's church data is treated with extra care. Class leaders and approved volunteers may need to see allergy, medical, emergency, guardian, authorised pickup, check-in/out, and incident information to keep children safe during a class session.

Child tag numbers and label details are shown only inside authorised guardian and leader workflows. Child media consent is used when deciding whether child-related gallery photos may be shown.

Photos and gallery access

Event galleries are private by default unless a gallery is deliberately marked public. Access is decided on the server from attendance, household sharing rules, child media consent safeguards, or an explicit admin grant.

Direct links and hidden page paths are not treated as permission. Gallery media is served through access-checked routes.

How to update your details

Everything you share can be updated by you. From Settings → Profile & Privacy you can edit your contact details, household, emergency contact, communication preferences, and privacy choices — changes save immediately. You can also submit privacy/data-subject requests for access/export, correction, deletion/erasure, restriction, objection, or portability review.

Security, audit, and retention

Access to child records, household records, admin screens, privacy requests, and galleries is checked by server-side permissions. Sensitive changes keep audit history so staff can review what happened and respond to requests.

Records are kept only as long as needed for church operations, safeguarding, audit, legal, or legitimate administrative purposes. If you think a record is inaccurate or should no longer be kept, use the privacy request workflow or contact the church team.
